ITV CLASS SCHEDULING PROCEDURES 

To schedule a class using the Interactive Television (ITV) system:

1)       Gain approval for offering the class via ITV from your Division and Division Chair. Instructors must receive appropriate training prior to offering a class via ITV.

2)       Once approved, the Division Chair will communicate the appropriate information to the Academic Dean’s Administrative Assistant and to the Distance Learning Coordinator.

a)        Information the Division Chair communicates to the Distance Learning Coordinator includes course name, course number, course description, instructor (lead instructor if team taught), instructor’s e-mail address, and dates and times the course is to be offered.

b)        The Distance Learning Coordinator will check the master ITV schedule to determine if the requested time slot is available. If not, the Division Chair will be notified and an attempt will be made to choose another time slot. ECTC classes receive highest priority, followed by classes offered to ECTC by other KCTCS colleges, classes offered by other colleges or universities, KCTCS meetings, then Kentucky state government meetings. All others are scheduled on “first come, first served”, if time is available. Charges may be applied to non-KCTCS clients.

c)        If the time slot is available locally, the Distance Learning Coordinator will schedule the class on the statewide master schedule at the Center for Rural Development (CRD).

§         The CRD will request confirmation of available time from the receiving site.

·        If the receiving site does not confirm an availability of time or facilities, CRD will inform the Coordinator of Distance Learning, who will work with the Division Chair to select another time slot or cancel the class.

·        If the receiving site confirms, both sites list the class on their class schedules, indicating the class is an ITV class.

3)       The PeopleSoft Administrator will enter the class onto the PeopleSoft system with the correct coding that indicates the class is an ITV class.

4)       ITV classes may be scheduled with any other Kentucky ITV site, usually at no charge for the use of the ITV system or charge for the receiving site. For a list of available sites, contact the Distance Learning Coordinator.

5)       ECTC requires a facilitator in the site that is the receiving site. The Distance Learning Coordinator will assist in hiring a facilitator. The Division may be responsible for the cost of the facilitator.

a)        If the instructor chooses to visit the site that is normally the receiving site, the instructor must arrange to have a facilitator in the classroom that is normally the delivering site.

6)       It is the responsibility of the instructor to assure that the Bookstore receives appropriate book adoption forms.

7)       ITV courses must meet all appropriate ADA requirements.


KET College Courses

q       Provides free programming for educational television channel.

q       Counts for full-time equivalent enrollments.

  

  For Faculty

q       Provides an opportunity to be innovative with a course and students.

q       Gives a challenge in teaching.

q       Gives an opportunity to work with telecommunications.

q       Requires fewer class meetings.

q       Provides faculty manual with course outlines and test banks.

q       Provides possibilities for extra income.

  

  For Students

q       Allows convenient access to higher education.

q       Gives homebound persons access to higher education.

q       Gives an opportunity to earn college credit.

q       Gives an opportunity for teachers to earn graduate credit.

q       Requires less travel to campus.

q       Allows recording video programs for review.

 

 

KET College Course Class Scheduling Procedures

 

To schedule a KET College Course:

1)       Gain approval for offering the class via KET College Course from your Division and Division Chair.

2)       Once approved, the Division Chair will communicate the appropriate information to the Academic Dean’s Administrative Assistant and to the Distance Learning Coordinator.

a)        Information the Division Chair communicates to the Distance Learning Coordinator includes course name, course number, course description, instructor (lead instructor if team taught), and instructor’s e-mail address.

3)       The PeopleSoft Administrator will enter the class onto the PeopleSoft system with the correct coding that indicates the class is a KET College Course.

a)        This coding alerts the PeopleSoft billing program to add the $22 KET College Course charge to the student’s tuition invoice. This charge helps pay for the purchased College Course programming.

4)       The Distance Learning Coordinator communicates the course information to KET.

a)        The KET Higher Ed Coordinator adds the instructor to an e-mail distribution list, in order for that instructor to receive information from KET.

b)        The KET Higher Ed Coordinator includes the course information onto the KET College Course catalog at www.ket.org and in the printed College Course catalog for that semester.

c)        The KET Higher Ed Coordinator gives the instructor access to course supplementary material at www.ket.org.

5)       The Distance Learning Coordinator at ECTC communicates information to the instructor, including broadcast times and dates for the course, and textbook information.

a)        It is the responsibility of the instructor to assure that the Bookstore receives appropriate book adoption forms.

6)       If an instructor chooses to web-enhance the KET College Course, follow the procedures listed under “Web Class Scheduling Procedures”.

7)       Instructors may choose to offer an on-campus orientation session, as well as other sessions during the semester. Please be aware, however, of the nature of distance learning and that some students enrolled in the class may reside far away from the local campus.

8)       KET College Course classes must meet all appropriate ADA requirements.

 


WEB CLASS SCHEDULING PROCEDURES

 

It is the approved policy of ECTC that all instructors offering stand alone Web classes will use a KYVC approved instructional platform and will offer their course through KYVC. Instructors must receive appropriate training prior to offering a stand alone Web class.

 

To schedule a new stand alone Web Class:

1)      Gain approval for offering the class via the Web from your Division and Division Chair.

2)      Once approved, the Division Chair will communicate the appropriate information to the Academic Dean’s Administrative Assistant, the PeopleSoft Administrator, and the Distance Learning Coordinator.

a.       Information the Division Chair communicates to the Distance Learning Coordinator includes course name, course number, course description, instructor (lead instructor if team taught), instructor’s e-mail address, class cap, instructional platform (Blackboard or other approved platform) and textbook information.

3)      The PeopleSoft Administrator will enter the class onto the PeopleSoft system with the correct coding that indicates the class is a Web class.   

a.       Once a class is coded in PeopleSoft that it is a Web class, KCTCS/KYVC is notified by the PeopleSoft system of the Web class.

b.      KCTCS/KYVC creates the class shell in Blackboard.

4)      The Distance Learning Coordinator creates the class section and submits to KYVC. If this is a new class, the coordinator first creates a new class, then new section.

5)      Once the class section is created and submitted to KYVC, the instructors has access to the course shell in BlackBoard at www.elearning.kctcs.edu.

6)      The instructor may now log into their new class, using their KCTCS email user name and password and begin creating instructional material.

7)      As students enroll in the class, PeopleSoft automatically adds the enrolled student to the class.

8)  KCTCS will send e-mail to students with information on how to log on to the class.

 

 

To schedule a new section of an existing Web class:

1)      Gain approval for offering the class via the Web from your Division and Division Chair.

2)      Once approved, the Division Chair will communicate the appropriate information to the Academic Dean’s Administrative Assistant, the PeopleSoft Administrator,  and Distance Learning Coordinator.

a.       Information the Division Chair communicates to the Distance Learning Coordinator includes any changes to the latest offered section (instructor, cap size, textbook changes).

3)      The PeopleSoft Administrator will enter the class onto the PeopleSoft system with the correct coding that indicates the class is a Web class.   

a.       Once a class is coded in PeopleSoft that it is a Web class, KCTCS/KYVC is notified by the PeopleSoft system of the Web class.

b.      KCTCS/KYVC creates the class shell in Blackboard.

4)      The Distance Learning Coordinator creates the class section and submits to KYVC, with any needed changes.

5)      Once the class section is created and submitted to KYVC, the instructors has access to the course shell in BlackBoard at www.elearning.kctcs.edu.

6)      The instructor may now log into their new class section and begin creating instructional material and/or copy material from an earlier section.

7)      As students enroll in the class, PeopleSoft automatically adds the enrolled student to the class.

8)  KCTCS will send e-mail to students with information on how to log on to the class.

 

 

Traditional classroom courses can be “enhanced” with access to Web components. Enhanced classes will not be listed in the KYVC catalog and only students officially enrolled in the class will have access to the Web component.

 

 

To offer Web enhancement of a traditional classroom course, using Blackboard or other approved KYVC instructional platform*:

1)      Gain approval for enhancing the class via the Web from your Division and Division Chair.

2)      Once approved, the Division Chair will communicate the appropriate information to the Academic Dean’s Administrative Assistant, the PeopleSoft Administrator, and the Distance Learning Coordinator.

a.       Information the Division Chair will communicate to the Distance Learning Coordinator include the course name, course number, instructor’s name (lead instructor if team taught), and instructor’s e-mail address.

3)      The PeopleSoft Administrator will enter the class onto the PeopleSoft system with the correct coding that indicates the class is an enhanced class.       

a.       Once a class is coded in PeopleSoft that it is an enhanced class, KCTCS/KYVC is notified by the PeopleSoft system of the Web class.

b.      KCTCS/KYVC creates the class shell in Blackboard or other approved platform..

4)      The Distance Learning Coordinator creates the class section and submits to KYVC. If this is a new class, the coordinator first creates a new class, then new section.

5)        Once the class section is created and submitted to KYVC, the instructors has access to the course shell in BlackBoard at www.elearning.kctcs.edu.

6)      The instructor may now log into their new class and begin creating instructional material.

7)      As students enroll in the class, PeopleSoft automatically adds the enrolled student to the class.

8)      It is the responsibility of the instructor to assure the Bookstore receives appropriate book adoption forms.

9)      Web courses and Web enhanced courses must meet all appropriate ADA requirements.

 

*If not using Blackboard or other KYVC approved instructional platform (i.e., publisher supplied platform or other platform), instructor must inform the Distance Learning Coordinator of the site URL. The Distance Learning Coordinator will communicate this link to KCTCS/KYVC, who will establish an association with the appropriate class. Students will be able to access the class from the BlackBoard course.  Instructors will need to follow the platform site’s instructions regarding enrollment of students into the course. Course sites not approved by KYVC are not supported by KYVC, so instructors who choose to use unapproved sites should not direct students to contact KCTCS or KYVC with problems regarding the site. In addition, the Distance Learning Coordinator and local IT personnel will be unable to assist with any course platform problems for any site not approved by KYVC.
